Legal Administrator
Sodexo Business Services (SBS) is currently looking for a self-driven Legal Administrator, to join its growing team.
A day in the life of a Legal Administrator
You will play a key role in supporting the UK&I Legal Team by ensuring administrative processes run smoothly and efficiently. Working closely with internal stakeholders and external partners, you will help manage legal spend, maintain legal systems, and provide high-quality administrative support in a fast-paced environment.
Your day-to-day
- Legal Invoice Management: Process and track legal invoices, ensuring compliance with internal policies and resolving invoicing queries with stakeholders and law firms.
- Purchase Orders & Matter Setup: Create Purchase Orders and matter codes within the Matter Management System (MMS), obtaining approvals and cost estimates as required.
- Legal Spend Reporting: Maintain accurate legal spend records and support the preparation of financial and work-in-progress (WIP) reports.
- Legal Team Administration: Provide day-to-day administrative support, including document formatting, file management, reporting, mailbox management, travel arrangements, and expense processing.
- Claims & Matter Administration: Support employment and regulatory claim matters by opening cases in MMS, organizing documentation, and maintaining tracking logs.
- Onboarding Support: Coordinate the onboarding of new team members, including system access, equipment setup, and induction planning.
- Vendor & Training Coordination: Assist with vendor management and coordinate training activities for the Legal Team.
- Legal Projects & Team Support: Contribute to departmental projects and initiatives while providing support to the Legal Department Manager during busy periods and annual leave.
Requirements/Qualifications:
- A-Level/Baccalaureate education (or equivalent), including Maths and English qualifications.
- Strong administrative experience with excellent attention to detail.
- Intermediate proficiency in Microsoft Office (Word, Excel, and PowerPoint).
- Experience working with SAP or similar business systems.
- Strong written and verbal communication skills.
- Ability to engage confidently with stakeholders and suppliers.
